Rosebud County Fairgrounds - Rental Rates and other information

The Rosebud County Fairgrounds is a multi-use facility. The Fair Board encourages its use for events such as weddings, meetings, auctions, concerts or other such events.  To defray the costs of operating the grounds, the Fair Board has established rates for renting areas of the grounds, along with rates for other services.

These rates and rules have been approved by the Rosebud County Fair Board and are subject to change.

Before planning an event at the fairgrounds, please call the Fair Office to schedule your event. Many events can be approved by the fair manager, but unusual or major events may need to be placed on the official agenda for the next Fair Board meeting for approval. 

PLEASE DO NOT PROMOTE OR ADVERTISE YOUR EVENT UNTIL YOU HAVE RECEIVED APPROVAL FOR THE EVENT.
 
If there are any special needs or unusual circumstances for your event, we recommend that you come to a board meeting to discuss the event with the board. Call the Fair Office at 406-346-2144 to obtain the date and time of the next meeting.

The Fair Board reserves the right to ACCEPT OR DENY rental requests, and to determine fees or waivers of fees, on a case-by-case basis.  (Not all events are automatically approved; for example, an event which could cause excessive damage to the facilities may be denied.)

RENTAL FEES AND DEPOSITS: All rental fees and deposits must be paid, and appropriate documentation must be received, at least SEVEN DAYS before the event begins unless otherwise authorized by the Fair Board or Fair personnel.  Cleaning and damage deposit payments are REQUIRED and will be held (not cashed or deposited) by the fair office. When the event is over and Fair property has been inspected by Fair personnel, deposits will be returned if the property is clean and undamaged.

RESTROOMS will be clean and stocked prior to the event. It is the responsibility of the renter to clean restrooms and dump all garbage after the event is concluded.

PROOF OF LIABILITY INSURANCE naming Rosebud-Treasure County Fair as an additional insured is required for all events using the fairgrounds. Depending on the type of event, other types of insurance may be required. Proof of insurance must come from the INSURANCE AGENT, not the renter -- no exceptions.  A hold-harmless document must be read, signed and attached to all rental agreements.

FAIRGROUNDS POLICIES:
- No under-age driving permitted on the fairgrounds
THERE IS NO DRIVING OR PARKING ON THE CARNIVAL GRASS OR SMALL PAVILION GRASS AT ANY TIME.

COMMON QUESTIONS:

Q.
Why does the Fair Board charge rental rates? Isn't the fairgrounds a taxpayer-owned facility?

A. It is true that the fairgrounds is taxpayer owned. However, there are also expenses associated with use of the grounds, such as electricity, water, upkeep, repairs, etc. which must be paid out of the fairgrounds budget. The fairgrounds operates on an annual budget, which is set by the county commissioners. All money received in the operations of the grounds goes into the county's General Fund. The amount deposited into the General Fund is deducted from the taxpayer-financed fairgrounds budget. Thus, the income generated by the fairgrounds reduces the "tax burden" for the county taxpayers. The Fair Board is mandaged to make this tax burden as light as possible.

Q. If I'm paying for the use of the facilities, why do I have to clean them? 

A. Using the fairgrounds is not like using a motel room. Think of it as renting a house; if you rent a house, you have to leave it clean for the owner when you leave. The fairgrounds does not budget for extraordinary cleaning; if we did, the rates would have to be higher than they are.
