Rosebud County Fairgrounds - Rental Rates and other information

The Rosebud County Fairgrounds is a multi-use facility and as such, the Fair Board encourages its use for events such as weddings, meetings, auctions, concerts or other such events.  To defray the costs of operating the grounds, the Fair Board has established rates for renting areas of the grounds, along with rates for other services.

AREA FEE CLEANING/DAMAGE DEPOSIT
FULL FAIRGROUNDS $1500 per day $500 / $500

FULL ARENA (Grandstand, arena, restrooms)

$250 first day, $150/day thereafter $500 / $500
GRANDSTAND AND RESTROOMS ONLY $200 per day $500 / $500
CONCESSION STAND $150 minimum per day OR 9% of gross sales, whichever is greater $500 / $500
RODEO OFFICE $50 per day $100 / $100
CROW'S NEST $50 per day $500 / $500
ARENA PREP WORK $20 per hour (One hour minimum)  
ADDITIONAL REQUESTED WORK by fair personnel $25 per hour  
GROOMER / TRACTOR $25 per hour  
WATER TRUCK $10 per hour  
ARENA LIGHTS $10 per hour  
ANNOUNCER'S BOOTH (in arena) $50 per day $100 / $100
ARENA ONLY $75 per day or $37.50 for 1/2 day
Liability insurance required for all uses
$500 damage deposit
COOLERS - BEER & CONCESSION AREAS Walk-in: $30 per day
Small coolers: $10 per day
 
BEER SALES BOOTH $100 per day (does not include coolers) $150 / $300
EXHIBITION HALL, KITCHEN AND NEW RESTROOMS
Includes the entire exhibition hall except the school exhibit room, which is used for fair storage year-round.
$250 per day plus utilities
(Utilities are charged per hour and vary depending on weather)

If using KITCHEN: $50 additional charge

Includes the first room of the exhibition hall, restrooms and kitchen if desired

$25 restocking fee if you use kitchen supplies.

These rates and rules were approved by the Rosebud County Fair Board in SEPTEMBER 2016 and are subject to change.

MORE INFORMATION:

Before planning an event at the fairgrounds, please call the Fair Office to schedule your event. If necessary, your event will be placed on the official agenda for the next Fair Board meeting for approval.  PLEASE DO NOT PROMOTE OR ADVERTISE YOUR EVENT UNTIL YOU HAVE RECEIVED APPROVAL FOR THE EVENT.  If there are any special needs or unusual circumstances for your event, we recommend that you come to a board meeting to discuss the event with the board. Call the Fair Office at 406-346-2144 to obtain the date and time of the next meeting. (If no answer, leave a message; your call will be returned.)

The Fair Board reserves the right to ACCEPT OR DENY rental requests, and to determine fees or waivers of fees, on a case-by-case basis.  (Not all events are automatically approved; for example, an event which could cause excessive damage to the facilities may be denied.)

RENTAL FEES AND DEPOSITS: All rental fees and deposits must be paid, and appropriate documentation must be received, at least SEVEN DAYS before the event begins unless otherwise authorized by the Fair Board or Fair personnel.  Cleaning and damage deposit payments are REQUIRED and will be held (not cashed or deposited) by the fair office. When the event is over and Fair property has been inspected by Fair personnel, deposits will be returned if the property is clean and undamaged.

RESTROOMS will be clean and stocked prior to the event. It is the responsibility of the renter to clean restrooms and dump all garbage after the event is concluded.

PROOF OF LIABILITY INSURANCE naming Rosebud-Treasure County Fair as an additional insured is required for all events using the fairgrounds. Depending on the type of event, other types of insurance may be required. Proof of insurance must come from the INSURANCE AGENT, not the renter -- no exceptions.  A hold-harmless document must be read, signed and attached to all rental agreements.

FAIRGROUNDS POLICIES:
- No under-age driving permitted on the fairgrounds
- No ATVs or side-by-sides permitted on the premises during events unless authorized in advance
- Tables, table carts, chairs and chair carts may not leave the exhibit hall
- Any changes to rental agreements must be made no later than 10 days prior to the event
THERE IS NO DRIVING OR PARKING ON THE CARNIVAL GRASS OR SMALL PAVILION GRASS AT ANY TIME. NO EXCEPTIONS!
